What information will I be asked for?
What data we need to process your contract and payments, why, and how long we will hold it for.
To set up your booking, issue your contract, process payment, and meet our legal obligations, we need to collect some basic personal information.
We're committed to being open about what information we request, why it's needed, and how it's handled in line with the BBC's data protection policies.
Your personal record
We create a personal record so we can engage with you accurately and securely. We do this by capturing the following key information;
- Your legal name and title
- Date of birth
- National insurance number
- Address information (incl. postcode)
- Contact details (e.g., email address and telephone number)
- Title and gender
- Nationality and Right to Work in the UK status
We ask for title and gender to support our obligation in regulatory reporting to HMRC, and disclosures such as pay gap reporting.
National insurance number, legal name and title are necessary for us to carry out Pay as you earn (PAYE) payroll processes.
Nationality and Right to Work are to meet our compliance obligations with the Home Office.
Information needed for payments
Payments will be made to recognised financial institutions.
Key information we need:
- Bank details (sort code, account number, account name)
- VAT registration status (if applicable to your booking status)
- Service company name and number (if applicable to your booking status)
Bank details are required so we can physically transfer monies owed to you for work completed.
VAT registration ensures your payments are correct.
Service company name and number ensure we are contracting with the correct party.
Why is this information needed?
National Insurance number, legal name, and title are required to ensure accurate identification across systems and to enable compliance with HMRC requirements, including payroll processing and statutory reporting of gross payments.
Registering on the Freelancer Payment Portal
Most Freelancers and Presenters will need to register on the BBC’s Freelancer Payment Portal (FPP), which allows you to accept bookings, claim payments and maintain your personal information.
The FPP allows you (or your agent) to maintain the following information:
- Bank details (main and expenses – we can pay into separate accounts)
- Address and contact information
- Next of kin and Emergency contact
- VAT number
- Service company details
As part of the registration process, you will be asked to provide demographic data. This information is confidential and is held securely to allow us to monitor that our people reflect the demographic of our audiences.
